What the approver sees

The approver taps the link in the crew member's message and sees who, which days, the balance and who else is off, with Approve and Deny and no sign-in.

The request arrives as a WhatsApp message from the crew member, in their words: "I'd like Friday off (Vacation, 1 day). Approve or deny here:" and a link. The link is the approver's own.

The page

Tapping the link opens one page. No app, no password, no sign-in.

  • Your company's name and the request number.
  • Who and what, for example Mike Torres: Vacation, Friday.
  • How many work days, when they asked, and the days they'd have left after this, or how many days over.
  • Waiting for an answer, and the note they wrote, if any.
  • Also off then: anyone else asked for or approved on any of those days. Or "Nobody else is off then."

Approve or Deny

Tap Approve. It goes on their Jobber schedule when that's on, and comes off their balance.

Or type a reason under If you deny, why? (it goes in the message) and tap Deny. Nothing goes to Jobber.

Then tell them

The same page then shows the buttons that tell people. Each opens your own WhatsApp with the words filled in, and you press send:

  • Tell Mike: "Approved: you're off Friday. You have 9 vacation days left." Or "Not approved: Friday." with your reason.
  • Tell the crew, after you approve: "Mike is off Friday, approved", for your crew's group. You pick the group. See Tell the crew in their group.

The link works only for the approver it was made for, only while they can approve, and the request is decided once. If two approvers tap at the same moment, the first answer counts and the other sees "That one is already settled."

Don't forward the link: anyone who has it can answer as you, and every decision is kept with your name. To hand a request to someone else, the crew member can send it to another approver. See If nobody answers a request.

An approver can't approve their own time off, unless they're the only approver.

When it says something else

  • Approved, Not approved or Cancelled in the box: someone already answered, or the crew member cancelled. Nothing to do.
  • Changed to new dates: they moved it. The new request has its own link.
  • Nothing here.: the link was cut short when it was copied, or changed. Open it from the original message.
